01 . Overview

One app to run the program, without touching what already works.

This build replaces the fragile Zoho Forms process behind Know Before You Go with one custom application that you control. Zoho CRM stays your system of record and every credit pull keeps running through the stable integration already in place, so nothing about how the actual pull happens changes. The forms, the technician flow, the billing, and the dealer management simply move into one clean app instead of hundreds of separate forms edited by hand.

02 . Scope of Work

Exactly what is delivered.

Intake application. One custom web application that replaces the current Zoho Forms setup for Know Before You Go. A single intake screen where an authorized rep enters the customer's first name, last name, street address, a separate unit or apartment field, city, state, ZIP, phone number, and email address. This one application serves all dealers and reps. There are no per-technician forms.

Consent request and capture. After the rep submits the intake, the application creates the customer record and generates a unique, shortened consent link for that customer (a short branded URL), shown with a copy button and a QR code. The rep copies that short link and texts it to the customer from their own phone, the same way they do today. The link opens a branded page that shows the soft credit pull disclosure and confirms it does not affect the customer's credit. The customer consents by typing their full name as an electronic signature. The application stores the consent, the typed name, and a date and time stamp. The application does not send the link to the customer automatically.

Credit pull trigger, existing integration only. On consent, the application calls the credit pull that already runs inside your Zoho CRM, through the Zoho API. This build does not create, modify, replace, or maintain the credit pull logic itself, the bureau or provider connection, or any existing Zoho automation. If there is no consent, no pull is triggered.

Grade mapping and technician notification. The score returned into Zoho is mapped to a letter grade (A through E) using one configurable band table that you approve. The application sends the initiating rep a text message with the customer name, the letter grade, and the grade band table. The raw numeric score is not included in that message.

Dealer and rep hierarchy. A two level structure of dealer (parent) and rep (child). Every intake and every pull is tied to one dealer and one rep. Reps can be added or removed at any time. The dealer account is always the billable entity regardless of rep changes.

Dealer self-service portal. Each dealer can add and remove its own reps from a dealer level view. From the admin side, a new dealer can be created with a custom intake link and a dealer logo upload. Per dealer setup does not require Black Badger involvement.

Record storage and lookup. For each customer, the application stores the intake data, the consent record, the returned credit detail, and the resulting grade, and makes them searchable for later lookup. Where a record already exists for a customer, the existing result is shown so a dealer can choose not to run a new pull. The application does not automatically block a new pull.

File upload. One file upload field on the intake, stored as an attachment on that customer's record.

Metered billing through Stripe. Stripe metered usage that counts one billable unit per completed pull, attributed to the correct dealer and rep. Consent is the billable event, no consent is no charge. Optional auto-pay per dealer. Stripe generates the invoices. This build configures the metering and billing mechanics. You provide the per-pull price, any packages, and any monthly minimum, and those values are entered into the configuration.

Reporting. Counts of billable pulls by dealer and by rep for a selected date range, with the ability to open the underlying per-pull records.

Zoho CRM sync. The application writes the intake, consent, grade, and pull result to Zoho CRM, which remains your system of record. Sync covers these Know Before You Go records only.

Access, ownership, and users. Unlimited dealers, reps, and admin users at no per-user cost. On delivery and final payment, you own the source code, the hosting account, and the domain.

Not included in this build
  • Any change to the existing Zoho CRM credit pull, the bureau or provider connection, or existing Zoho automations beyond the API trigger described in item 3.
  • Integration of a second credit provider. The data structure is built to allow a second provider later. The actual integration of that provider is a separate, separately priced engagement.
  • The automated follow-up by text or call for the no-contact list. This is a future phase, scoped and priced separately.
  • Additional data sources or tiered service packages beyond the single existing credit pull.
  • The one-time Zoho Forms address line fix, which is handled separately at no charge and is not part of this application.
  • Migration of historical records or past submissions out of Zoho Forms. This build is going forward only.
  • Native iOS or Android store apps. The application is a responsive web app that works on phone, tablet, and desktop.
  • Per-pull bureau or provider fees, text and email delivery fees, and Stripe processing fees. These are pass-through costs paid by Concierge Express Services and are not part of the build price or the monthly infrastructure fee.
  • Defining the pricing model. You provide the per-pull price, packages, and any monthly minimum. The build enforces the values you provide.
Optional add-on, not included in this build

Automated text messaging through Twilio. The base build gives each rep a short consent link to send to the customer the way they do today. If you want the system to send that consent link to the customer automatically by text, it can be added for approximately 3 additional hours at $165 per hour (about $495). Text messages carry a small per-message cost that is passed through at cost, roughly a cent or less per message. This is an optional future add-on and is not part of the current build.

Note.Changes and additions: anything not listed under Scope of Work above is not included. New features, additional integrations, added data sources, or changes requested after this scope is approved are handled as a separate written change order, billed at $165 per hour, and scheduled after the current build.

04 . Acceptance

Acceptance and Authorization

By signing below, Concierge Express Services, LLC authorizes Black Badger Software Solutions to proceed with the Know Before You Go custom application as described above.

  • The Scope of Work section is the complete and exclusive description of what is delivered. Items listed as not included, and any request outside the Scope of Work, are separate change orders billed at $165 per hour.
  • One-time build fee of $4,950, based on the scope described.
  • Payment terms: a 50% deposit of the build fee is due on signing, and the remaining 50% is due on completion.
  • Ongoing infrastructure is billed monthly once the application is live.
  • Stripe metered billing configured to the per-pull pricing and any monthly minimum you provide.
  • You own the source code, hosting, and domain on delivery.
